Chase a Late Lesson Payment
A simple step-by-step guide for Tutonomi tutor management software.

By the time a payment is marked as failed in Tutonomi, it has already been retried and reminder emails have already been sent.
Your pupil has had time to update their card or complete payment.
If it is still outstanding, it now needs a direct conversation.
Here’s how to handle it clearly and professionally.
Step 1: Check the billing page
Go to the Billing page and confirm:
The payment is marked as failed
The reason for failure
The amount outstanding
At this stage, automation has finished. The next step is human.
Step 2: Ask for confirmation
Contact your pupil or their parent and ask them to confirm that payment will be made.
Be clear and calm. You are not asking if they would like to pay. You are asking when they will resolve it.
For example:
I just wanted to follow up regarding the outstanding payment for last week’s lesson. The automatic retries and reminders haven’t gone through, so I need to confirm when this will be settled. I’ll send a secure payment link by email so you can update your card details if needed.
This keeps the tone professional and removes ambiguity.
Step 3: Send the payment link
Once they confirm they are ready to pay, resend the secure payment link:
Go to the Billing page
Find the outstanding amount
Click the three blue dots
Select Send Payment Link
They will receive an email where they can:
Complete the payment
Or update their card details securely
Why this step matters
By this point:
The payment has already been retried
Multiple reminders have already been sent
The pupil has already had opportunities to fix the issue
You are stepping in at the right moment.
Clear communication now helps avoid ongoing delays.
The bigger picture
Tutonomi handles the system side first.
If payment is still outstanding after reminders, it becomes a relationship conversation.
Keep it calm. Keep it clear. Confirm a plan. Send the link.
